What a house cleaning receipt is for

Move-out cleans often end up in a dispute between a tenant and a landlord over the security deposit. A receipt naming the address, the date and the clean done, with what was included, is the tenant's evidence. For cash clients, a receipt is simply the record both of you need.

What to put on a house cleaning receipt

  • The address and the date of the clean.
  • The type of clean and what was included.
  • Amount paid and how.
  • Who paid, if not the occupant.

A worked example

A tenant paid for a move-out clean of an empty two-bedroom apartment and asked for a receipt for the landlord.

List what was included room by room in the notes. Landlords compare the receipt against their checklist, and specific lines carry more weight than a single total.

Terms and deposit language for house cleaning

  • Deposit. Recurring cleans usually need no deposit, with a card on file. One-time deep cleans and move-outs may take a booking deposit to hold the date.
  • Payment. Charged after each visit to the card on file, or paid at the visit. Recurring clients may be billed weekly or monthly.
  • Warranty. If something was missed, the customer tells you within a day or so and you come back to fix that area at no charge. Say the window.
  • Late cancellations or a locked-out visit may be charged; say the notice you need.
  • Cleaners do not move heavy furniture, climb high ladders or handle biohazards unless agreed.
  • Customer secures valuables and tells you about fragile items and pets.

How to fill it in

  1. Fill in who paid and which job or invoice the payment is for.
  2. Check the lines; they show what the payment covers.
  3. Pick how they paid and add the check or reference number.
  4. Type the amount received, or leave it blank when it pays the whole total.
  5. Print it, download it, or hand it over as a PDF.

FAQ

Do tenants need a receipt for a move-out clean?

Often, yes. Many leases require a professional clean, and the receipt with the address, date and what was cleaned is what the tenant shows the landlord to get the deposit back.

What should a cleaning receipt include?

The address, date, type of clean, what was included, the amount and how it was paid. Photos after the clean are good backup for move-outs.

Should I give receipts to recurring clients?

A monthly receipt or paid invoice is enough for most. Some clients need them for a household employer record or for a home office deduction, so offer one.

Can I add photos to the receipt?

Send them alongside the PDF. In Koira, before and after photos attach to the job and can go out with the receipt.
