What a house cleaning change order is for

Recurring cleaning plans drift: a basement gets finished, a baby arrives, laundry gets added. If the price never changes, your margin quietly disappears. A short written change with the new per-visit price keeps the plan honest and gives the client a clear record of what they agreed to.

What to put on a house cleaning change order

  • The current plan and price.
  • What changes and from when.
  • Added services and any dropped ones.
  • The new per-visit price.
  • Client approval.

A worked example

A biweekly client finishes the basement and wants it cleaned each visit, adds a load of laundry, and asks to stop the oven add-on.

Put the current per-visit price in Original amount; the new total is the new per-visit price. Say in the notes which visit it starts with.

Terms and deposit language for house cleaning

  • Deposit. Recurring cleans usually need no deposit, with a card on file. One-time deep cleans and move-outs may take a booking deposit to hold the date.
  • Payment. Charged after each visit to the card on file, or paid at the visit. Recurring clients may be billed weekly or monthly.
  • Warranty. If something was missed, the customer tells you within a day or so and you come back to fix that area at no charge. Say the window.
  • Late cancellations or a locked-out visit may be charged; say the notice you need.
  • Cleaners do not move heavy furniture, climb high ladders or handle biohazards unless agreed.
  • Customer secures valuables and tells you about fragile items and pets.

How to fill it in

  1. Put in the original estimate number and amount.
  2. Write what changed in the reason box, plainly.
  3. Add the new work; type a minus quantity for any credit.
  4. Fill in the days added.
  5. Print it for a signature on site, or send it from Koira to sign by phone.

FAQ

How do I raise a cleaning client's price when the job grows?

Put the added work on a written change with the new per-visit price and the start date, and send it before the visit it applies to. Clients accept a change they can see.

Do I need a change order to drop a service?

It is good practice. A credit line shows the lower price and keeps the record straight for both of you.

How often should I review recurring cleaning prices?

Once a year at least, and whenever the home or the work changes. Note the date of the last review on the client's file.

Can a client approve a change by text?

Yes, if you have it in writing somewhere. In Koira the change goes out as a link the client approves.
