What a carpet cleaning change order is for

Most carpet cleaning changes happen at the door: another bedroom, a rug, pet damage that is worse than the phone call suggested. A short written change with the new total, approved before you start that area, keeps the end of the job friendly. It is quicker than a new estimate and clearer than a verbal yes.

What to put on a carpet cleaning change order

  • The original price.
  • What was added or found.
  • Added lines and credits.
  • The new total.
  • Customer approval before the extra work.

A worked example

At the house, the customer adds the basement family room and an area rug, and the urine damage turns out to cover twice the area. They skip the protector.

Terms and deposit language for carpet cleaning

  • Deposit. No deposit on residential jobs; commercial or large jobs may take one to hold the date.
  • Payment. Due when the job is done, before the crew leaves.
  • Warranty. If a spot reappears within a short window from wicking, you come back to treat it at no charge. Say the window, and that some stains are permanent.
  • Drying time depends on airflow and humidity; keep traffic off until dry.
  • Pet urine may need more than one treatment and may not fully remove odor if it reached the pad.
  • Customer moves fragile and valuable items before the visit.

How to fill it in

  1. Put in the original estimate number and amount.
  2. Write what changed in the reason box, plainly.
  3. Add the new work; type a minus quantity for any credit.
  4. Fill in the days added.

FAQ

Do carpet cleaners need change orders?

For anything that changes the price on site, a written approval protects both of you. It can be quick: the added items, the new total and a signature.

How do I handle pet damage worse than described?

Show the customer with a UV light if you have one, explain what it takes, price it, and get approval before treating the larger area.

Can the customer remove items on the day?

Yes. Enter a minus quantity for dropped items and the template subtracts them. The customer sees the added rooms and the dropped protector on one page.

Should added rooms cost the same as estimated rooms?

Use the same room price unless the room is larger or dirtier, and say why if it differs.
