A roofer might do one big job a week. A house cleaner might do twenty small ones, most of them the same homes every week or every other week. The work is steady. What wears you down is everything around it: confirming tomorrow's visits, moving the client who has a dentist appointment, chasing the card that failed, answering the same question about price for the fifth time today.
That is what cleaning business software should fix. Not a sales pipeline. The messages. This page walks through where a small cleaning business loses time and clients, a checklist for choosing software, and how the usual options compare.
- For a cleaning business, the schedule and the messages around it are the whole job of the software.
- Day-before confirmations cut no-shows and locked doors more than anything else you can automate.
- Recurring clients should pay on a card on file, with no invoice to chase.
- Look closely at per-person pricing. Cleaning teams grow fast, and some plans charge for every login.
Where the hours actually go
Ask a cleaning business owner what takes up their evening and the list is nearly always the same.
- Confirming tomorrow. Texting every client on the schedule to make sure someone will be home, or the key will be under the mat.
- Moving visits. One client moves, which means another has to move, which means the drive no longer makes sense.
- New inquiries. People text asking for a price, often in the evening, and they book with whoever replies first.
- Payments. A recurring client's card expires, or someone forgets to pay after a deep clean.
- Reviews. You know you should ask, but by the end of the day you have forgotten.
None of that is cleaning. All of it is necessary. Good software for a cleaning company does most of it without you, and brings you only the few things that need a person.
Recurring visits are the business
A one-time deep clean is nice. A client who has you in every other Thursday for three years is the business. That changes what scheduling software needs to do.
House cleaning scheduling software should handle the repeat visit as the normal case, not the exception. The visit should come back on its own, the client should be reminded before it, the payment should come off a card on file after it, and nobody should have to send a renewal notice or an invoice by hand. When a client wants to skip a week or move a day, that should take one reply, not a phone call.
The other half is the drive. If your homes are spread across four towns, the order you visit them in matters every single day. A schedule sorted by when people booked wastes time that a schedule sorted by the drive saves.
A front desk in two languages
Many cleaning businesses work in English and Spanish, on both sides. Clients may write in one language and the team may work in the other. Software that only answers in English leaves someone translating at night.
When you compare options, ask how each one handles a client who texts in Spanish, and whether you can read the conversation in English.

What Koira takes off your plate
Here is how Koira handles each item, and which plan it is on.
Prices and new clients. A Get a price button on your Koira site answers from your own price list, day or night, and the client can book a time on the same page. Koira never invents a price. If someone asks for something you have not priced, it asks you once. Instant quotes are on every plan. See instant quotes.
Booking by text. On Grow, when a client texts your Koira number, Koira offers three open times that fit your day and your drive. They reply with one and it is on your schedule. No app, no link, no account. See booking by text.
Day-before reminders. The day before a visit, Koira texts the client to confirm or move it. They reply C to confirm or R to move. Every text carries the same link to their own page, where they can see the visit, pay and book again. See the customer portal.
Spanish, both ways. On Grow, clients can write in Spanish and Koira answers in Spanish, while you read the conversation in English. The same goes for calls the receptionist answers and missed calls it texts back. See the AI receptionist.
The route. Today shows every stop for you and each team in the order that makes sense to drive. New bookings slot in where the drive works. When you leave a stop, the next client gets an on-my-way text. The day plan is on every plan. See Today and routes.
Recurring visits on a plan. On Front Office, you can sell a plan for whatever you do on a schedule, such as a cleaning every other week. You set the visits and the price. Koira bills the card on file, books each visit when it comes due, and asks the client for a new card by text if a payment fails. See maintenance plans.
One-off jobs. For a deep clean or a move-out, Koira can send an estimate with up to three options. The invoice goes out when you tap done, and the client can pay at the door by card, Apple Pay or Google Pay. Estimates and invoices are on every plan. See estimates and invoices.
Reviews. An hour after a visit is paid, Koira texts the client your Google review link and drafts a reply when the review arrives. A bad review always comes to you first. See reviews.
Your team. On Front Office, each person sees their own stops and clocks in and out of each home from their phone. You see who is where and the hours, by person and by job. There is no per-person fee on any plan. See crew.

Each cell names the lowest plan whose card on the company's public pricing page lists that feature, checked October 8, 2026. A dash means we did not see it on the plan cards. The company may sell it as an add-on or on a higher tier, so ask them.
ServiceTitan is not in the table. Its pricing page offers three packages priced per technician on request, and it is aimed mostly at larger trade companies rather than cleaning teams.
Monthly prices, from each company
A cleaning business can go from two people to eight in a year. Look at the people column before anything else, and work out what each plan costs at the team size you expect next year, not just today.

Choosing for your team
Start by counting. For one normal week, tally how many texts you sent to confirm, move or chase a visit, how many price questions you answered, and how many payments you had to follow up. The biggest number tells you where to look first.
- If confirmations and moves win, focus on day-before reminders the client can answer with one reply.
- If price questions win, focus on an instant price on your website and booking on the same page.
- If payments win, focus on recurring billing on a card on file and what happens when a card fails.
- If you are hiring, work out the monthly cost at your next team size.
Then run two real weeks through your first choice. Koira has a free plan to start on, and most of the others offer a free trial.
