A lawn care business runs on two kinds of work at once. There is the steady kind: the same forty or eighty yards every week from spring to fall, billed every month. Then there is the lumpy kind: a spring cleanup, a mulch job, a paver patio, a leaf haul in November. Most software handles one of those well. The right software handles both without making you live in a laptop after dark.
This page is for owner-operators and small crews. It walks through what a landscape CRM should do, what to expect from landscaping estimating software, a checklist you can take into any demo, and how the usual names compare on the things a lawn business actually uses.
- Route density is where a lawn business makes or loses money. Software should sort the day by the drive and fill gaps near yards you already cut.
- Recurring billing on a card on file beats sending forty invoices a month.
- A first price from a satellite measurement saves a drive for every small quote.
- Check the per-person price before you add a seasonal helper.
The lawn care year, and where the office work piles up
The office work in this trade is not spread evenly. It comes in a few hard weeks.
- Early spring. The phone rings with new yards and cleanup requests while you are trying to get the mowers running. Every caller wants a price, and most of them call two other companies too.
- Peak season. The route is full. The work is easy to plan but easy to bill late, and one skipped week from a customer throws the route off.
- Summer installs. Beds, edging, sod and hardscape bring bigger tickets with longer estimates and deposits.
- Fall. Leaf cleanups, aeration and the question of who comes back next spring.
Software earns its keep in those weeks. If it saves you the evening of quoting in April and the evening of billing every month, it is doing its job.
What a lawn care CRM should keep track of
For a lawn business, the customer list is really a route list. Each yard has an address, a service, a frequency, a price and a gate code or a dog to watch for. A good lawn care CRM keeps all of that on the job so whoever cuts the yard sees it.
It should also know what happens next for each customer. A weekly cut that bills monthly. A yard that wants a fall cleanup quote. A customer who asked about a patio in June. That is the part most owners keep in their head, and the part that slips first when the season gets busy.
What landscaping estimating software should do
Most lawn quotes are small, and the cost of quoting them is the drive. Estimating software helps most when it removes that drive for the simple jobs and makes the big jobs easier to say yes to.
- A first number without a visit. Measure the lawn from satellite images, multiply by your own rate, and give the customer a price on your site.
- Options on the bigger jobs. A mulch refresh, new beds, or beds plus edging and lighting. Three prices give the customer a choice instead of a yes or no.
- Signature and deposit together. An install is only on the schedule once the deposit is in.
- Follow-up that happens without you. A quiet quote in May is usually a customer who got busy, not a no.
A checklist for lawn and landscape software
Take this into every demo and ask to see each item done on a real yard.
- Stops sorted by the drive, with new bookings offered where the route already goes
- Recurring visits that bill a card on file each month or each year
- A price on your website from a satellite measurement and your own rates
- Estimates with options, a signature and a deposit on one page
- Missed calls texted back during the spring rush
- A day-before reminder and an on-my-way text
- Payment at the curb by card or phone wallet
- Seasonal reminders for cleanups, aeration and mulch
- Postcards to the homes near yards you already service
- Crew stops and hours, if you run a crew
- Google reviews that keep coming in
How Koira handles each one
Routes. Today shows every stop for you and your crew, sorted by the drive rather than by when the job was booked. New bookings slot in where the route makes sense. Tap done in a backyard with no signal and it syncs later. The day plan is on every plan, including the free one. Crew lanes and hours are on Front Office. See Today and routes.
Recurring work. Weekly, monthly or seasonal visits can run as a plan, billed monthly or yearly on the card on file. Koira bills it, books the visits when they come due and asks the customer for a new card by text if a payment fails. Plans are on Front Office. See maintenance plans.
Measured from above. The Get a price button on your Koira site answers from your own price list, and Koira can measure a lawn from satellite images for the first number. You choose which services get an instant price and which get a visit first. You confirm on site before the final estimate. Instant quotes and measuring are on every plan. See instant quotes.
Installs. An estimate carries up to three options from your price list. The customer picks one, signs with a finger and pays the deposit on the same page. Snap photos of the yard and Koira drafts the estimate. Open estimates get a nudge on day two and day four, then Koira stops. See estimates and signing and bid follow-ups.
The spring phone. On Grow, Koira answers on a Koira number and texts back every missed call in about a minute with three open times. Customers can book by replying with one. It works in English and Spanish. See AI receptionist.
Getting paid. Tap done and the invoice is sent from the estimate. At the door the customer scans a QR code and pays by card or phone wallet. Card payments are on every plan. See pay at the door.
Filling the street. After a job, Koira can print and mail cards to the nearby homes most likely to hire a landscaper, skipping your current customers. Postcards are one flat price per card on every plan. On Grow, seasonal texts and emails go to past customers who agreed to hear from you, with one tap to book a cleanup or aeration. See neighbor postcards and campaigns.
Getting found. Koira builds your site with a page for every town you mow, keeps your Google and Bing listings matching and asks every paid customer for a review. See contractor SEO.

Each cell names the lowest plan whose card on the company's public pricing page lists that feature, checked October 8, 2026. A dash means we did not see it on the plan cards. The company may sell it as an add-on or on a higher tier, so ask them.
ServiceTitan is not in the table because its pricing page does not tie features to a published price. It offers three packages priced per technician on request, and it is mostly sold to larger shops.

Lawn crews often grow from one to three people in April and shrink again in November. Pay attention to the people column, because that is where seasonal help shows up on the bill.

Picking one for your route
Start with your worst week from last year. If it was April, when quotes and calls piled up, look first at instant prices and missed-call text-back. If it was the first of every month, when the invoices went out, look at recurring billing on a card on file. If your days were spent driving between yards that are miles apart, look at route sorting and how each tool helps you add yards near the ones you have.
Then run two weeks of real yards through your top pick. A free plan or a free trial makes that easy, so do not sign a contract on a demo alone.
