What a water treatment receipt is for

Water treatment customers pay you several times a year on a plan: filter changes, salt, service. A receipt that names the visit, the system and the next due date keeps the record straight and reminds them why the plan is worth keeping. Home buyers also ask for proof the system was serviced.

What to put on a water treatment receipt

  • The amount, the day and the payment method.
  • System and visit type.
  • Next service due.
  • Plan balance, if any.

A worked example

The owner paid for the yearly softener service and salt. Enter it in Amount received.

Put the next service month in the notes. It is the reminder they will see when they file the receipt.

Terms and deposit language for water treatment

  • Deposit. A deposit at signing covers the softener, filters or pump ordered for this home. Deposit rules differ by state; confirm yours.
  • Payment. Balance due when the system is installed, running and tested.
  • Warranty. Equipment carries the maker's warranty. You warrant the install and fittings for the time stated. Damage from freezing, sediment or a failing well is not install workmanship.
  • Systems are sized from the water test shown on this estimate.
  • Service plans renew yearly unless cancelled in writing.
  • Well work may need a licensed well contractor where the state requires one.

How to fill it in

  1. Fill in who paid and which job or invoice the payment is for.
  2. Check the lines; they show what the payment covers.
  3. Pick how they paid and add the check or reference number.
  4. Type the amount received, or leave it blank when it pays the whole total.
  5. Print it, download it, or hand it over as a PDF.

FAQ

Why give a receipt for each service visit?

It records that the system was serviced, which home buyers and warranty claims ask about, and reminds the owner when the next visit is due.

What goes on a water treatment receipt?

The address, the date, the system and visit type, the amount and method of payment, and when the next service is due.

Do buyers ask for softener service records?

Often. A buyer's inspector may note the softener or filters, and a stack of service receipts shows the system has been looked after every year.

Can service receipts go out automatically?

Yes. On a Koira maintenance plan, the visit is billed on the card on file and the receipt goes out by text or email.
