Why water treatment plans work
A water treatment plan keeps the softener, filters and reverse osmosis system working: a service visit, a fresh test and the filters changed before they fail.
A softener or filter that nobody services quietly stops working, and the customer blames the system and the company that sold it. A service plan brings you back to test the water, clean and adjust the system and change filters, which keeps the customer happy and keeps the replacement sale yours.
Three tiers to offer
Three tiers give the customer a choice that is not yes or no.
| Tier | What it includes | Example price | Billed monthly |
|---|---|---|---|
| Yearly service | One service visit a year; Water test and system check; Written results left with the customer | $110 a year | $9.17 a month |
| Twice a year | Two service visits a year; Filters changed on schedule; 10% off repairs | $280 a year | $23 a month |
| Full care | Two service visits a year; Filters changed on schedule; 15% off repairs; Priority calls | $300 a year | $25 a month |
Worked out with the maintenance plan calculator using 1 hour on site and 0.5 hours driving a visit, $25 of parts a visit and $300 of repairs a member buys a year and a labor cost of $33.02 an hour: the BLS May 2025 national median wage for plumbers (the closest trade in our salary data), $30.67, plus the 7.65% employer payroll tax. Overhead is 15% and profit 20%, the calculator's starting values. Change any of them in the calculator below.
What to put in the plan terms
Write the terms down before the first customer signs, and use the same words on your site, the estimate and the invoice:
- Which systems and filters are covered
- Salt and filter cartridges: included or billed
- Repair discount and what it does not cover
- Billing and renewal
- Cancellation
A sales script that does not sound like one
The best moment to offer a plan is right after a good visit, while the customer is looking at the work. Here is how it can go:
- You: Your softener is regenerating fine and the hardness is back down. I wrote the test results on the sheet.
- Customer: I did not know it needed checking.
- You: Once or twice a year keeps it working. On our plan we test the water, service the system and change the filters before they clog.
- Customer: What does it run?
- You: A small amount each month on your card. I can add it to today's invoice.
Say the price as a monthly amount, and offer to add it to today's invoice. Then stop talking.
Price your own plan
The examples above are national numbers. Your plan price should come from your own labor, drive time, parts and overhead. The calculator above does that math for any trade: visits, hours, parts, the member discount and your margin.
Launch this plan in Koira
Maintenance plans are part of Koira's Front Office plan, $499 a month flat. Koira offers the plan on your site, on the estimate and on the invoice, bills the card on file monthly or yearly, and books each visit when it comes due, so plan visits land on your day with everything else. See how maintenance plans work in Koira, or start on Front Office.
On the free Office plan you can still sell the visits one at a time with estimates and invoices.
