What a water treatment invoice is for

The water treatment invoice is the owner's manual for the system: what was installed, how it is set, when the first service is due. An invoice that lists equipment, settings and the plan start date answers the calls you would otherwise get in the first month and makes renewal automatic.

What to put on a water treatment invoice

  • Equipment installed, with model.
  • Settings such as hardness and regeneration time.
  • Fittings and drain used.
  • Service plan start date.
  • Deposit received, balance owed.

A worked example

The softener and RO unit are installed. The drain line needed an extra 20 feet to reach the floor drain.

Write the hardness setting and regeneration time in the notes. It is the first thing the owner asks about.

Terms and deposit language for water treatment

  • Deposit. A deposit at signing covers the softener, filters or pump ordered for this home. Deposit rules differ by state; confirm yours.
  • Payment. Balance due when the system is installed, running and tested.
  • Warranty. Equipment carries the maker's warranty. You warrant the install and fittings for the time stated. Damage from freezing, sediment or a failing well is not install workmanship.
  • Systems are sized from the water test shown on this estimate.
  • Service plans renew yearly unless cancelled in writing.
  • Well work may need a licensed well contractor where the state requires one.

How to fill it in

  3. Check the lines against what you actually did, and add your prices.

FAQ

What should a water treatment invoice show?

Equipment and model, settings like hardness and regeneration time, fittings and drain, any extras, the service plan start and the balance.

Why include softener settings on the invoice?

Owners and other plumbers ask how it is set. Having it in writing saves a service call when someone wonders why the water feels different.

When should water treatment installs be paid?

When the system is installed, running and tested, with a deposit at signing to cover equipment ordered for that home.

Should the invoice start the service plan?

Yes. Naming the first service month on the invoice makes the plan real and gives you a reason to come back.
