What a restoration invoice is for

Restoration invoices are questioned line by line, by owners and by adjusters. An invoice that ties every equipment day and visit to the moisture log, with photos and the date the drying goal was met, answers those questions before they are asked and gets paid without a month of back and forth.

What to put on a restoration invoice

  • Extraction and tear-out completed.
  • Equipment days matched to the log.
  • Monitoring visits and the final readings.
  • Date the drying goal was met.
  • Deductible or owner share, if insured.

A worked example

The hall and laundry are dry. Drying took one day longer than estimated, shown in the log.

Attach the moisture log. The extra day of equipment is explained by the readings, not by your word.

Terms and deposit language for restoration

  • Deposit. Emergency work starts without a deposit. Planned mold and rebuild work takes a deposit at signing, within your state's limits.
  • Payment. Homeowner-paid work is due on completion. On insurance jobs, the owner is responsible for the deductible and anything the carrier does not pay.
  • Warranty. You stand behind drying to the goals in your moisture log and mold removal to clearance where testing is part of the job. Cause of loss, like a failed pipe, is the owner's or a plumber's to fix.
  • Equipment days are counted from setup to pickup, by unit.
  • Moisture readings and photos are kept for every visit and shared with the owner or adjuster.
  • Rebuild after drying is a separate estimate.

How to fill it in

  1. Your business details carry over from any template you used before.
  2. Fill in who you are billing and the job.
  3. Check the lines against what you actually did, and add your prices.
  4. Put any deposit in Already paid, so the balance is right.
  5. Print, download or send it from Koira with a pay-by-card link.

FAQ

What should a restoration invoice include?

Extraction, tear-out, equipment days matched to the moisture log, monitoring visits, the date drying goals were met, and the owner's share if insurance is paying.

Why attach the moisture log to the invoice?

Because it proves the equipment days. Owners and adjusters both accept a charge more readily when the readings show why it was needed.

What if drying takes longer than the estimate?

Bill the actual equipment days and visits, and let the moisture log show why. Tell the owner as soon as the readings say it will run longer.

How do I invoice the deductible?

Show the job total, what the carrier is paying and the owner's share, so the homeowner sees exactly what they owe you.
