What a restoration service agreement is for

Property managers do not want to shop for a restoration company at 2 am. An agreement that sets your response time, your equipment and labor rates and a yearly walk of their buildings for leak risks makes you their first call. It is the steadiest source of work in the trade.

What to put on a restoration service agreement

  • Buildings and units covered.
  • Response time promise.
  • Set rates for labor and equipment.
  • Yearly leak-risk walk.
  • Who authorizes work at night.
  • Price, billing and cancellation.

A worked example

A property manager with three apartment buildings wants priority response and a yearly walk.

Terms and deposit language for restoration

  • Deposit. Emergency work starts without a deposit. Planned mold and rebuild work takes a deposit at signing, within your state's limits.
  • Payment. Homeowner-paid work is due on completion. On insurance jobs, the owner is responsible for the deductible and anything the carrier does not pay.
  • Warranty. You stand behind drying to the goals in your moisture log and mold removal to clearance where testing is part of the job. Cause of loss, like a failed pipe, is the owner's or a plumber's to fix.
  • Equipment days are counted from setup to pickup, by unit.
  • Moisture readings and photos are kept for every visit and shared with the owner or adjuster.
  • Rebuild after drying is a separate estimate.

How to fill it in

  1. Fill in the customer and the start and end dates.
  2. List what each visit includes and how many visits a year.
  3. Add your price per line; the plan shows a yearly total, and a monthly figure if billed monthly.
  4. Fill in what is not covered and the renewal and cancellation terms.
  5. Check your state's rules, then print it for signatures.

FAQ

What does a restoration service agreement include?

A response time promise, set labor and equipment rates, a yearly walk for leak risks, who authorizes work at night, and billing terms.

Why would a property manager sign one?

So the first call at 2 am goes to a company with agreed rates and a known response time, instead of whoever answers first.

What does a leak-risk walk look at?

Water heaters, washer hoses, supply lines, roof drains and anything else likely to fail, noted with photos for the manager.

Is this restoration agreement legal advice?

No. It is a template. Check your state's rules on service agreements and have it reviewed before you offer it.
