What a commercial cleaning service agreement is for
Commercial clients expect a written agreement, and many will not let a cleaning company in without one and a certificate of insurance. The agreement sets the scope that every invoice and complaint will be measured against, so the clearer it is, the fewer arguments. It also covers the business points: term, notice, price reviews and access.
What to put on a commercial cleaning service agreement
- Scope by nightly, weekly, monthly and periodic task.
- Service days and hours.
- Access, keys, alarm and staff screening.
- Insurance you carry.
- Monthly price, billing and price reviews.

A worked example
The office signs for five nights a week for a year. Lines are per month; the price is yours.

Terms and deposit language for commercial cleaning
- Deposit. Commercial contracts rarely take a deposit; some take the first month in advance from new clients.
- Payment. Billed monthly, often net terms set in the contract; say the due date and late fee if any.
- Warranty. Quality complaints are reported to a named contact and corrected on the next visit or sooner.
- Keys, alarm codes and access badges are signed out and returned at the end of the contract.
- Staff are background checked if the client requires it; say so in the scope.
- Price is reviewed yearly or when the square footage or scope changes.
How to fill it in
- Fill in the customer and the start and end dates.
- List what each visit includes and how many visits a year.
- Add your price per line; the plan shows a yearly total, and a monthly figure if billed monthly.
- Fill in what is not covered and the renewal and cancellation terms.
- Check your state's rules, then print it for signatures.
