What a solar invoice is for

Solar jobs are paid by milestone over weeks or months, and the customer may be paying through a loan. Each invoice should show the contract total, what milestone was reached, payments so far and the amount due, so the customer and any lender see the same numbers.

A worked example

Terms and deposit language for solar

  • Deposit. A deposit at signing covers design and permit work. Equipment and installation payments follow milestones. Check your state's rules on deposits and any solar-specific consumer rules.
  • Payment. Payments tied to milestones such as permit approval, installation complete and permission to operate from the utility.
  • Warranty. Separate the panel and inverter makers' warranties from your workmanship and roof penetration warranty, with how long each runs.
  • Production estimates are estimates; actual output depends on weather, shading and use.
  • Incentives, credits and rebates are the customer's to claim and depend on their situation; you provide paperwork, not tax advice.
  • Utility approval timelines are outside your control.

How to fill it in

  1. Your business details carry over from any template you used before.
  2. Fill in who you are billing and the job.
  3. Check the lines against what you actually did, and add your prices.
  4. Put any deposit in Already paid, so the balance is right.
  5. Print, download or send it from Koira with a pay-by-card link.

FAQ

How do solar installers invoice?

By milestone: deposit, permit approval or equipment delivery, installation, and utility permission to operate. Each invoice shows the running totals.

What if the customer is financing?

Coordinate with the lender's draw schedule. Invoices should match the milestones the lender expects. Ask the lender for their draw schedule before the first invoice.

Should the final payment wait for utility approval?

Many installers tie the last payment to permission to operate. Say how it works in the contract. Utility approval can take weeks, so set expectations early.

Can I invoice change orders separately?

Yes, or add them to the next milestone. Say which on each change order. Number each change order so it is easy to find on the final invoice.
