What a flooring invoice is for
Flooring invoices are judged against the estimate and against the floor itself. If leveling was needed, the invoice should show it at the price agreed; if trim was added, it should be its own line. Including care and warranty notes helps the customer protect the floor and the warranty.
What to put on a flooring invoice
- Square footage installed and the product.
- Removal done.
- Leveling or repairs found, at the agreed price.
- Trim, transitions and stairs.
- Deposit and the balance.
- Care and warranty notes.
A worked example
The plank floor is in. The kitchen needed leveling over a dip near the old dishwasher. The deposit was paid at signing.

The leveling line now shows the area that needed it. Note where the leftover boxes are; customers need them for repairs years later.

Terms and deposit language for flooring
- Deposit. A deposit at signing orders flooring, which often needs time to arrive and acclimate. Check your state's rules on deposits.
- Payment. Balance due when the floor is installed and trim is done.
- Warranty. Products carry the maker's warranty, which may require proper installation and moisture limits. State how long you warrant your installation.
- Subfloor condition is checked after removal; repairs or leveling found are priced by change order.
- Material quantities include a waste allowance; leftover boxes stay with the customer.
- Doors may need trimming for new floor heights; say who does it.
How to fill it in
- Your business details carry over from any template you used before.
- Fill in who you are billing and the job.
- Check the lines against what you actually did, and add your prices.
- Put any deposit in Already paid, so the balance is right.
