What a septic invoice is for

The septic invoice is often the only record a homeowner has of their system. Recording the tank size, gallons pumped, the condition of baffles and the level of solids gives them, and the next pumper, a reason to trust the system's history. Many homeowners file it with their house papers.

Terms and deposit language for septic

  • Deposit. No deposit on pumping and inspections. Repairs and drain field work take a deposit for permits and materials.
  • Payment. Due on completion for pumping and inspections; repairs by milestone.
  • Warranty. State your workmanship warranty on repairs; pumps and alarms carry the maker's warranty.
  • Lids must be located; digging is billed if they are buried.
  • Drain field work usually needs county or health department permits and may need a design.
  • Driving over the drain field can damage it; trucks stay off it.

What should a septic pumping invoice include?

The tank size, gallons pumped, lid access, baffle and filter condition, repairs and the recommended next pumping. It is the system history the next pumper will want to see.

Why record the tank condition?

It gives the homeowner and future pumpers a history, and helps spot problems early. Heavy solids or a short interval since the last pumping are both worth noting.

How do I invoice a baffle replacement?

As its own line, with a note on what was wrong and that the owner approved it. A photo of the old baffle helps too.

Can septic customers pay on the spot?

Yes, by card reader or Koira pay link. Getting paid before the truck leaves is normal in septic work, and the pay link records it for you.
