What a moving invoice is for
Moving invoices get scrutinized because hourly time is easy to question. Showing the start and end times, breaks, travel, materials actually used and the deposit makes the total easy to check on the spot, before the crew drives away. Match the times to your work order so they are easy to back up.
What to put on a moving invoice
- Start and end times and total hours.
- Travel time.
- Packing labor and materials used.
- Specialty items and extras.
- Deposit and the balance.
A worked example
The move took seven and a half hours. The customer added a few boxes from the garage the crew packed on the spot. The booking deposit was paid.

Terms and deposit language for moving
- Deposit. A booking deposit holds the date and crew, especially on weekends and month ends.
- Payment. Balance due at the end of the move, before the truck leaves the new home.
- Warranty. State the liability coverage you provide for damage, how claims are made and by when. Explain the options plainly before the move.
- Hourly moves bill from the time stated to the time stated; say whether travel and breaks count.
- Valuables, cash, jewelry, medicine and hazardous items are moved by the customer.
- Interstate moves are governed by federal rules and need different paperwork; this template is for local moves.
