What a receipt needs
- Your business name and contact details.
- A receipt number and the date the money arrived.
- Who paid, and for which job or invoice.
- The amount received and how: card, check (with the number), cash, bank transfer or an app.
- The balance still owed, or that the job is paid in full.
When to give one
Every time money changes hands: the deposit, each progress payment and the final balance. Cash payments most of all, since a receipt is the only record the customer has. Customers paying through insurance, a property manager or a home warranty company often need one to be paid back.
Receipt or paid invoice
An invoice asks to be paid; a receipt confirms that you were. For a single payment, a paid invoice can do both. When a job is paid in pieces, a receipt for each payment keeps your bank deposits and the customer's records matching.
