What a property maintenance receipt is for

Property managers reconcile payments by property and month for each owner they report to. A receipt that names the property, the month or the work order and the amount paid helps them close their books, and keeps your account clean if anyone asks what a payment covered.

What to put on a property maintenance receipt

  • Amount, date paid and method used.
  • Property and month or work order.
  • Units covered.
  • Balance on account, if any.

A worked example

The property manager paid the monthly plan by bank transfer. Enter it in Amount received.

Name the month the payment covers. Managers reconcile by month, and a receipt without it creates a question.

FAQ

What should a property maintenance receipt include?

The property, the month or work order covered, units, the amount and how it was paid, and any balance on the account.

Why name the month on a receipt?

Managers reconcile owner statements by month. A receipt that says which month it covers closes their books faster.

Do landlords need receipts for small work orders?

Yes. Repairs are business expenses for rental owners, and a receipt with the unit and date is the record they keep.

Can receipts be sent automatically?

Yes. When a payment is recorded in Koira, the receipt goes to the manager by email or text right away.
