Key takeaways
  • Put recurring clients on a card on file; the invoice nobody sends is the one nobody pays.
  • The core of cleaning invoicing is on Koira's Grow plan, $249 a month plus usage, with no per-person fee.
  • Card rates for Markate, Housecall Pro and Service Autopilot are from each company's own pages, next to Koira's.

How a cleaning company gets paid

Cleaning billing is many small charges: one per visit, or one per month for the regulars. Chasing those by hand is where a cleaning owner's evenings go.

The simplest setup is a card on file for recurring clients, billed per visit or per month, with one-time cleans paid on the day.

What goes on a cleaning invoice

  • Per-visit charge for recurring clients
  • Monthly charge on the card on file
  • First deep clean paid at booking
  • Move-out clean deposit to hold the date
  • Add-ons on the visit they were done
  • Supplies fee if you charge one
  • Tips if the client adds one
  • Late-cancel fee from your policy
A tip from the tradePut recurring clients on a card on file; the invoice nobody sends is the one nobody pays.

What invoicing software should do for cleaning companies

  • The invoice built from the signed estimate
  • Paid at the door by card or phone wallet
  • Deposits and staged invoices
  • The card rate published, on both sides
  • Recurring service plans, which matters for cleaning companies

How Koira does it

In Koira, a cleaning invoice is built from the signed estimate and your price list, per-visit charge for recurring clients and all, and goes out when you tap done. It opens as a QR code at the door, so the customer pays by card, Apple Pay, Google Pay or pay over time through Affirm or Klarna. Deposits are paid at signing and bigger jobs bill in stages. That is on Office, the free plan.

On Grow, invoices, payments and deposits post to QuickBooks Online as they happen.

What Koira does not doKoira does not do payroll, inventory or a dispatch board for a call center. If you need those, a larger system may suit you better.
