Key takeaways
  • Show the recurring rate next to the first deep clean, so the customer sees what every visit after the first will cost.
  • The core of cleaning estimating is on Koira's Grow plan, $249 a month plus usage, with no per-person fee.
  • Card rates for Markate, Housecall Pro and Service Autopilot are from each company's own pages, next to Koira's.

How a cleaning company estimates

A cleaning estimate is a menu more than a quote. Size of the home, bedrooms and baths, how often, and the add-ons decide the price, so most first numbers can come from a list without a walkthrough.

The estimates worth care are the first deep clean and the move-out clean, which take longer and set the price of the recurring visits after them.

What goes on a cleaning estimate

  • Standard clean by bedrooms and baths
  • First-time deep clean
  • Move-in or move-out clean
  • Weekly, every other week or monthly rate
  • Inside the oven and fridge
  • Inside windows and blinds
  • Laundry and linens
  • Pet hair surcharge

What estimating software should do for cleaning companies

  • Prices from your own list, never made up
  • Options side by side on one estimate
  • Signature and deposit on the same page
  • Follow-ups that stop when they sign
  • Instant price on your site, which matters for cleaning companies
  • Customers book online, which matters for cleaning companies

How Koira does it

In Koira, every line on a cleaning estimate comes from your own price list, from standard clean by bedrooms and baths to pet hair surcharge. An estimate carries up to three options, the customer signs with a finger and pays your deposit on the same page, all on Office, the free plan. Koira can also draft the estimate from a few photos of the job, and never writes a number that is not in your records.

On Grow, $249 a month plus usage at cost, every open estimate is nudged on day two and day four, then the nudges stop. You see who opened it.

For cleaning companies in particular

  • Instant price on your site. On every plan, a Get a price button answers from your own price list.
What Koira does not doKoira does not do payroll, inventory or a dispatch board for a call center. If you need those, a larger system may suit you better.

FAQ

Can a cleaning estimate be given without a walkthrough?

Most can, from bedrooms, baths and frequency. Koira's Get a price button answers from your list day or night, and anything unusual comes to you as one question.

What is the best estimating software for a small cleaning company?

One that prices cleaning work from your own list, shows options side by side and takes the signature and deposit together. Koira does that on its free Office plan.

Should a cleaning company send one price or options?

Options, when the job allows it. Up to three on one estimate gives the customer a choice instead of a yes or a no, and Koira builds them from your own price list.

What do Markate, Housecall Pro and Service Autopilot charge on card payments?

Markate: Not published; payments run through Square at Square's rate. Housecall Pro: From 2.59% a card payment, 1% bank payments. Service Autopilot: Not published on its pricing page. Koira: Stripe's 2.9% + 30¢ plus 2%, 1% or 0.5% by plan.
