What an appliance repair work order is for

The best appliance call is fixed on the first visit, and that depends on what the office learned on the phone: the model, the symptom, whether it is under warranty. For return trips, the work order carries the ordered parts and the earlier diagnosis. The customer's signature at the end confirms the appliance was working when the tech left.

What to put on an appliance repair work order

  • The appliance brand, model and serial if known.
  • The complaint in the customer's words.
  • Parts to bring, especially ordered ones.
  • Access: where the appliance is, stairs, pets.
  • Customer sign-off after testing.

A worked example

The return visit for the refrigerator. The parts arrived. The tech needs the earlier diagnosis and the parts list; prices are hidden.

Note in the site notes that the customer should empty the freezer before the visit. The instructions ask for temperature readings before leaving, which back up the warranty if it is questioned.

FAQ

What goes on an appliance repair work order?

The appliance details, the complaint, parts to bring, access notes and a sign-off. For a return trip, the earlier diagnosis and the ordered parts.

How do I get more first-visit fixes?

Ask for the model and the symptom when the call is booked, and put both on the work order so the tech can bring the likely parts. That is where most first-visit fixes come from.

Should the customer sign the work order?

Yes. A signature after the appliance runs says it worked when you left, which matters for warranty calls.

Can I use one work order for several appliances?

Yes. List each appliance and its tasks as separate lines, note each model in the description, and have the customer sign once every machine has been tested.
