Key takeaways
  • Put the payment for the high-efficiency option next to its price; a replacement is usually decided by the monthly number.
  • The core of hvac estimating is on Koira's Grow plan, $249 a month plus usage, with no per-person fee.
  • Card rates for FieldPulse, Service Fusion and Housecall Pro are from each company's own pages, next to Koira's.

How a HVAC company estimates

An HVAC estimate is usually a replacement decision made in a hot or cold house. The homeowner wants to know what a new system costs, what the better one saves, and whether the old one can limp through another season.

That makes the estimate a comparison: repair, replace with a standard unit, or replace with a high-efficiency system, each with the tonnage, the warranty and the monthly payment beside it.

What goes on a hvac estimate

  • Repair: capacitor and contactor, with the diagnostic credited
  • Standard replacement: condenser, coil and line set at the same tonnage
  • High-efficiency replacement with a variable-speed air handler
  • Furnace replacement with a new flue connection
  • Thermostat upgrade as an add-on
  • Duct sealing or a return added where airflow is short
  • Haul-away of the old equipment
  • Permit and startup
A tip from the tradePut the payment for the high-efficiency option next to its price; a replacement is usually decided by the monthly number.

What estimating software should do for HVAC companies

  • Prices from your own list, never made up
  • Options side by side on one estimate
  • Signature and deposit on the same page
  • Follow-ups that stop when they sign
  • Customer financing, which matters for HVAC companies

How Koira does it

In Koira, every line on a hvac estimate comes from your own price list, from repair: capacitor and contactor, with the diagnostic credited to permit and startup. An estimate carries up to three options, the customer signs with a finger and pays your deposit on the same page, all on Office, the free plan. Koira can also draft the estimate from a few photos of the job, and never writes a number that is not in your records.

On Grow, $249 a month plus usage at cost, every open estimate is nudged on day two and day four, then the nudges stop. You see who opened it.

For HVAC companies in particular

  • Options on one estimate. An estimate carries up to three options from your price list, signed and paid on one page, on every plan.
What Koira does not doKoira does not do payroll, inventory or a dispatch board for a call center. If you need those, a larger system may suit you better.

FAQ

How do I show HVAC replacement options on one estimate?

List repair, standard and high-efficiency replacement as three options on one estimate. With Koira each option comes from your price list, and the customer picks one, signs and pays the deposit on the same page.

What is the best estimating software for a small HVAC company?

One that prices hvac work from your own list, shows options side by side and takes the signature and deposit together. Koira does that on its free Office plan.

Should a HVAC company send one price or options?

Options, when the job allows it. Up to three on one estimate gives the customer a choice instead of a yes or a no, and Koira builds them from your own price list.

What do FieldPulse, Service Fusion and Housecall Pro charge on card payments?

FieldPulse: Not published; FieldPulse Payments is an optional product. Service Fusion: As low as 2.90% + 30¢ (Service Fusion Payments). Housecall Pro: From 2.59% a card payment, 1% bank payments. Koira: Stripe's 2.9% + 30¢ plus 2%, 1% or 0.5% by plan.
