Key takeaways
  • Take the equipment deposit at signing; it is what lets you order the unit without floating the cost.
  • The core of hvac invoicing is on Koira's Grow plan, $249 a month plus usage, with no per-person fee.
  • Card rates for FieldPulse, Service Fusion and Housecall Pro are from each company's own pages, next to Koira's.

How a HVAC company gets paid

HVAC billing runs from a diagnostic fee on a service call to a five figure install. The service call should be paid before the van leaves; the install needs a deposit for the equipment and a final when it is running.

Maintenance plans add a third kind: small, regular charges on the card on file that nobody should have to send by hand.

What goes on a hvac invoice

  • Diagnostic or trip fee
  • Repair parts and labor from the price list
  • Refrigerant by the pound
  • Equipment deposit at signing
  • Install balance at startup
  • Maintenance plan billed monthly or yearly
  • Permit fee passed through
  • Pay over time for a replacement
A tip from the tradeTake the equipment deposit at signing; it is what lets you order the unit without floating the cost.

What invoicing software should do for HVAC companies

  • The invoice built from the signed estimate
  • Paid at the door by card or phone wallet
  • Deposits and staged invoices
  • The card rate published, on both sides
  • Recurring service plans, which matters for HVAC companies
  • Customer financing, which matters for HVAC companies

How Koira does it

In Koira, a hvac invoice is built from the signed estimate and your price list, diagnostic or trip fee and all, and goes out when you tap done. It opens as a QR code at the door, so the customer pays by card, Apple Pay, Google Pay or pay over time through Affirm or Klarna. Deposits are paid at signing and bigger jobs bill in stages. That is on Office, the free plan.

On Grow, invoices, payments and deposits post to QuickBooks Online as they happen.

What Koira does not doKoira does not do payroll, inventory or a dispatch board for a call center. If you need those, a larger system may suit you better.
