An electrical contractor's week is a mix that most software is not built for. Monday is outlets, a ceiling fan and a breaker that keeps tripping. Tuesday is a panel upgrade with a deposit and a second visit. Wednesday a property manager calls about lights in a parking lot. Each of those jobs needs a different kind of price, a different kind of paperwork and a different follow-up.
When people search for the best CRM for electrical contractors, they usually mean software that keeps that mix straight without an office manager. This page covers what that software should do, how electrical invoicing and dispatch should work at the size of one to five trucks, and how Koira and the usual names compare.
- Small electrical jobs are won on speed. A price from your own list, sent the same day, beats a callback next week.
- Panel upgrades and EV charger installs are bigger decisions. Options, a deposit and pay over time help them get signed.
- Commercial work comes from property managers and other repeat buyers, and it needs a way to reach them.
- Electrical invoicing should happen when you finish the job, not when you get home.
Three kinds of electrical work, one phone
It helps to split your work into three kinds, because each one tests software differently.
Service calls. Outlets, switches, fixtures, a dead circuit. Small tickets, lots of them. The customer wants to know roughly what it will cost before you come out, and they want you this week. The software has to answer fast and price from a list.
Upgrades and installs. Panels, service changes, EV chargers, generators, whole-house surge protection. Bigger tickets that the customer thinks about for days. The software has to send a clear estimate with choices, take a deposit when they sign and follow up while they think.
Commercial and repeat buyers. Property managers, realtors and HOAs who hire an electrician over and over. The software has to help you reach them and keep their many addresses straight.
Most CRMs handle one of these well. Ask which one a tool was really built for before you buy it.
What a CRM should do for an electrician
A CRM for an electrical contractor is less about storing contacts and more about what happens next for each one. At minimum it should:
- Keep every customer's address, what you found there and every job you did
- Show which estimates are open and which have been opened
- Show who owes you money and how late it is
- Remind the customer about the second visit on a two-day job
- Ask for a review after the job is paid
Permits and inspections are a separate matter between you, the customer and the local inspector. Do not expect a CRM to handle them for you, and be careful with any tool that says it does.
Electrical invoicing that does not wait for the evening
Many electricians finish a service call, drive to the next one and type the invoice at night. Some never send it at all. Electrical invoicing software should close that gap.
- The invoice should come from the estimate, so nothing is typed twice
- It should be sent the moment you mark the job done
- The customer should be able to pay at the door by card or phone wallet
- Bigger jobs should bill in stages: a deposit at signing, then the rest as you finish
- You should see who is late without opening a spreadsheet
Dispatch for one to five trucks
Electrical dispatch software is often built for a dispatcher with a wall of screens. At small sizes, dispatch is really three questions: where is everyone, what is next for each person, and where does this new call fit.
Look for a day plan for each person, sorted by the drive, that new bookings drop into on their own. Look for a way for the customer to pick a time by text. Look for an on-my-way text so the customer is home when you arrive. And if you have helpers or apprentices, look at what each one adds to the monthly bill.
The electrician's software checklist
- Calls answered, and missed calls texted back
- A price for small jobs from your own list, on your website and by text
- Estimates with up to three options for upgrades
- Signature and deposit together
- Pay over time for a panel or a generator
- Invoices sent on done, and progress invoices for bigger jobs
- Pay at the door without a card reader
- A day plan per person, in driving order
- A way to reach property managers and other repeat buyers
- Review asks after every paid job
- No surprise cost for adding an apprentice
How Koira covers it
Small jobs priced fast. Koira quotes only what is on your price list. A Get a price button on your Koira site answers from that list, day or night. Anything you have not priced comes to you as one question, and Koira uses your answer from then on. Instant quotes are on every plan. See instant quotes.
The call while you are in a panel. On Grow, Koira answers on a Koira number and texts back any call you miss in about a minute, with three open times. In English or Spanish. See the AI receptionist.
Upgrades signed with a deposit. An estimate can carry up to three options, such as a 100 amp panel swap, a 200 amp service upgrade, or the upgrade with a charger circuit. The customer picks one, signs and pays the deposit on one page. Koira nudges open estimates on day two and day four, then stops. Customers can choose pay over time through Affirm or Klarna on the pay page. See estimates and signing, deposits and financing.
Invoicing on done. When you tap done, the invoice is built from the signed estimate and sent. Bigger jobs can bill in stages: deposit, midpoint and final. At the door, a QR code on your phone takes card, Apple Pay or Google Pay. Text Koira "who owes me" for the list of late payers. See invoices and pay at the door.
Dispatch. Today shows every stop for you and your crew in driving order, and new bookings slot in where the drive makes sense. The day plan is on every plan. Crew routes and hours are on Front Office, where each person clocks in and out of jobs on their phone. See Today and routes and crew.
Commercial work. On Front Office, Koira finds property managers, realtors and HOAs near the towns you work and sends a short three-email introduction from a warmed-up domain, then stops. Replies land in Convos as leads. See commercial outreach.
Getting found. Koira builds your site with a page for every town and service, keeps your Google and Bing listings matching and asks every paid customer for a review. See contractor SEO.

ServiceTitan is not in the table because its pricing page lists packages without prices. It offers Starter, Essentials and The Works, priced per technician on request, and is aimed at larger electrical contractors.

Which one fits your shop
Think about the kind of work you want more of next year.
- More service calls: look at instant prices from your list, call answering and booking by text.
- More upgrades and installs: look at options on the estimate, deposits, financing and follow-ups.
- More commercial work: look at how each tool helps you reach property managers, and how it handles many addresses for one customer.
- Bigger crew: compare the yearly cost of each extra person.
Then put a real week through it. Koira has a free plan, and several of the others offer a free trial.
