How to price signs

Signs are quoted by the square foot, but a square foot price that ignores design, setup and install loses money on every small job. Here is how to build a sign price from what it really takes.

A banner, a set of window decals and a lit storefront sign are all quoted the same way: so much a square foot. That works for the material and the print time. It does not cover the design and proof time, the setup on the printer or the cutter, the install, or the drive, so those go on as their own lines or into a minimum.

Key takeaways
  • Price material and production by the square foot, and design, setup and install as their own lines.
  • Online printers set the floor customers compare against: Vistaprint says its yard signs start at $10.99 a unit.
  • A design and proof is skilled time. Graphic designers' national mean wage was $33.92 an hour in the May 2025 BLS survey.
  • Charge installs for the drive. The IRS business rate is 76 cents a mile for the second half of 2026.
  • Set a minimum. Small orders carry the same setup and proof as big ones.

What goes into a sign

  • Material. Substrate (coroplast, aluminum composite, PVC, acrylic), vinyl, ink and laminate, with waste.
  • Design and proof. Layout, the customer's changes and the final proof.
  • Production. Printing, laminating, cutting, weeding, mounting and trimming.
  • Install. People, hours, the ladder or lift, hardware and the drive.
  • Permits and electrical. For lit and permanent signs, on their own lines.
  • Overhead and profit. Printer leases, ink, rent, insurance, software and what the business keeps.

Square foot pricing that works

Work out a square foot price for each material from your cost: substrate, vinyl or ink and laminate, plus the production time per square foot. Then add the lines a square foot price does not cover: design and proof, setup, install and the drive. The free sign price per square foot calculator turns a size in inches into square feet and a price, with sides, design, install, setup and a minimum.

Remember what customers compare you with. Vistaprint says its yard signs start at $10.99 a unit. You will not win on price against an online printer for a single yard sign, so win on speed, local pickup, design help and install, and price those.

Charging for design and proofs

Start with the wage. The closest group the U.S. Bureau of Labor Statistics publishes is graphic designers. In its May 2025 wage survey, that group's national mean wage was $33.92 an hour and the median was $30.27 (BLS OEWS 27-1024).

Include one proof and one round of changes in the price, and charge for more. A customer who sends a print-ready file saves you that line.

Installs and the drive

Price installs by people and hours on site, plus hardware, plus the drive both ways at the IRS business rate of 76 cents a mile for the second half of 2026 (IRS standard mileage rates). Lit signs need an electrician and often a permit; put both on the estimate as their own lines.

A worked example: a 4 by 8 foot panel sign

Every input is an assumption for the example, except the designer wage and the mileage rate, which come from the sources above.

  • A single sided 4 x 8 foot aluminum composite panel, 32 square feet, printed and laminated.
  • Material: $90 for the panel and $3 a square foot for printed vinyl and laminate.
  • Design and proof: 1.5 hours at $40.70 an hour, the BLS mean for graphic designers plus 20% burden.
  • Production and install at $30 an hour loaded, two people on site for an hour and a half.
  • Drive: 20 miles round trip at the IRS rate of 76 cents.
  • Overhead 20% of the price and profit 15%.
  1. Aluminum composite panel, 4 x 8 ft: $90
  2. Printed vinyl and laminate: 32 sq ft x $3 = $96
  3. Design and proof: 1.5 hours x $40.70 = $61.05
  4. Print, laminate, mount and trim: 2 hours x $30 = $60
  5. Install on existing posts: 2 people x 1.5 hours x $30 = $90
  6. Drive: 20 miles round trip x $0.76 = $15.20
  7. Direct cost: $90 + $96 + $61.05 + $60 + $90 + $15.20 = $412.25
  8. Overhead plus profit: 20% + 15% = 35% of the price
  9. Price: $412.25 / (1 - 0.35) = $412.25 / 0.65 = $634

Check it: 35% of $634 is about $222, and $634 minus $222 is about $412, the direct cost of $412.25. The profit and overhead are inside the price, not added on top of a cost you guessed.

That is about $19.81 a square foot installed. Without the install and the drive it would look cheaper per square foot, which is why install belongs on its own line.

Margin, not markupTo keep 35% of the price, divide your cost by 0.65. Adding 35% on top of the cost leaves you about 26%. The free profit margin calculator and markup calculator show both, step by step.

Rush fees, setup fees and minimums

Sign customers often have a date. When the order jumps the queue, a rush percentage pays for the late night. A setup fee covers a new design on the cutter or a new file on the printer, and a minimum charge keeps a single decal from costing you money.

Koira estimates carry a setup fee, a minimum charge and a rush percentage from your price list defaults, and they carry through to the invoice and the customer's page. Per part, per batch and per pound lines sit on the same price list.

Take the deposit when they sign, before you cut a sheet, with Koira's deposits.

Paid at pickup

When the job is done, mark it Ready. Koira texts the customer once that it is ready for pickup, or shipped, with the pay link, so most work is paid before it leaves the shop. On Grow the text goes from your Koira number; it waits in your quiet hours and never goes to someone who replied STOP.

Common sign pricing mistakes

  • Design for free. Proof rounds are skilled time. Include one and charge for more.
  • Install inside the square foot price. A small sign up a ladder downtown costs more to hang than to make.
  • No minimum. One small decal uses the same setup and proof as fifty.
  • Chasing online prices. Compete on speed, design help and install, not on the cheapest yard sign.

Questions contractors ask

How do sign shops price by the square foot?

Build a square foot price for each material from substrate, ink or vinyl, laminate and production time, then add design, setup, install and the drive as their own lines.

Should I charge for sign design?

Yes. Include one proof and one round of changes, and charge for more. Graphic designers' national mean wage was $33.92 an hour in the May 2025 BLS survey.

How can a local sign shop compete with online printers?

On speed, local pickup, design help and install. Vistaprint says its yard signs start at $10.99 a unit, so price the help, not just the sign.

Should a sign shop take a deposit?

Yes, before you cut material. Koira takes the deposit on the same page the customer signs.
